Key Responsibilities:
- Office Management:
- Manage office supplies, inventory, and equipment; ensure office operations run smoothly.
- Coordinate maintenance and repairs of office facilities and equipment.
- Maintain a clean and organized workspace.
- Administrative Support:
- Perform data entry, document management, and filing to keep records organized and accessible.
- Manage and schedule meetings, appointments, and travel arrangements for staff.
- Prepare, edit, and proofread reports, presentations, and correspondence.
- Communication:
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Act as the first point of contact for visitors and provide a welcoming environment.
- Liaise with internal and external stakeholders to ensure efficient communication flow.
- Scheduling and Calendar Management:
- Maintain and coordinate staff calendars; schedule and confirm meetings.
- Ensure meeting logistics, agendas, and supporting documents are prepared in advance.
- Manage conference room booking and setup as needed.
- Document and Data Management:
- Assist with creating and maintaining spreadsheets, databases, and records.
- Maintain confidentiality and protect sensitive information.
- Ensure data is accurate, up-to-date, and organized for easy access.
- Special Projects:
- Assist in the planning and coordination of company events and team-building activities.
- Take on additional projects as assigned, providing research, support, and follow-up.
- Contribute ideas to improve office efficiency and administrative processes.
Qualifications:
- High school diploma or equivalent; an associate’s degree or certification in office administration is a plus.
- Proven experience in an administrative or clerical role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other standard office software.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to work independently and as part of a team, handling confidential information with integrity.
Preferred Skills:
- Familiarity with office equipment such as copiers, printers, and scanners.
- Experience with project management software or customer relationship management (CRM) systems.
- Strong problem-solving abilities and a proactive approach to tasks.
Working Conditions:
Job Type: Contract
Pay: $21.78 - $35.00 per hour
Expected hours: 40 per week
